Creating & Editing Tasks
This page covers the manual creation and editing flows. For tasks created from projects, tickets, messages, or emails, see Creating Tasks from Projects, Tickets & Messages.
Three Ways to Create a Task
| Method | Where | Best for |
|---|---|---|
| Inline Add Task | List view, top-right | Fast title-only adds |
| Quick Add Modal | List view, top-right | Setting due date / priority / client at creation |
| Calendar Add | Calendar view, any day column | Creating a task already pinned to a date |
Inline Add Task
- In List view, click the + Add Task button (top-right of the filter row)
- An input row appears at the top of the list with a placeholder Add a task...
- Type the title
- Press Enter to save, Esc to cancel, or click Add
The new task lands at the top of the To Do list with no client, no due date, and Medium priority by default. You can edit any of those after saving by clicking the task to expand it.
Quick Add Modal
For setting more than just the title at creation time:
- Click Quick Add (next to Add Task in the toolbar)
- The Quick Add modal opens
- Set: Title, Due Date, Priority, Client (managers), Tags, Recurrence, Notes
- Click Add Task
Useful when batch-entering multiple tasks for one client or one due date.
Calendar Add
In Calendar view, every day column has a + Add task link at the bottom:
- Click + Add task in any day column
- An inline input appears
- Type the title
- Press Enter or click Add
The task is created with that day as its due date. Drag it to a different day later to reschedule.
For tasks with no date, use the NO DATE column (rightmost).
Editing a Task
In List view, click anywhere on a task row (except the checkbox or actions menu) to expand its inline editor below the row.
The expanded editor shows:
- Notes textarea
- Due Date badge
- A row of action buttons: Date picker, Today, Tomorrow, Recurrence dropdown, Priority dropdown, Client picker, Tags picker
Click outside the row or onto another task to collapse the editor. Edits save automatically — no Save button.
Notes
The notes field supports bulleted text. To add notes:
- Expand the task
- Click the pencil/list icon next to Notes
- Type — bullet points (lines starting with
-,*, or•) render as a list - Click outside the textarea (or press Esc) to save
When notes exist, a preview appears under the task title in the collapsed view. Click the preview to re-open the editor.
Due Dates
Set a due date three ways:
- Date button → opens a native date picker
- Today button → sets due to today
- Tomorrow button → sets due to tomorrow
- In the time-tracking widget on the right, click the date display to change it inline
Tasks without due dates appear in the NO DATE column in Calendar view and are excluded from the Today filter.
Priority
Click the Priority flag dropdown:
| Level | Color cue |
|---|---|
| None | No flag |
| Low | — |
| Medium | — |
| High | — |
| Urgent | — |
Priority is used by the filter dropdown and surfaces visually on the task row.
Recurrence
For tasks that repeat:
- Click the Recurrence dropdown
- Choose: None, Daily, Weekly, Bi-weekly, Monthly, Quarterly, Annual
When a recurring task is marked complete, ClientCove auto-creates the next occurrence with the due date advanced by the chosen interval.
Client Assignment
Click the Client button (shows current client name or "Add Client"):
- The client picker modal opens
- Pick from the client list
- Save
Client-assigned tasks roll up into the Time by Client sidebar for managers and the Share Tasks export.
Tags
Click the Tags button (shows the current tag count):
- The tags modal opens
- Tick the tags to apply
- Save
To create a tag first, use the + button in the sidebar Tags panel. Each tag has a name and a color; tag dots appear on the task row when applied.
Marking Complete
Click the round checkbox at the left of any task row.
- The task animates to the strikethrough completed state
- A Date completed auto-populates with today's date
- A success animation runs briefly
- The task moves out of the To Do filter into the Completed filter
- After 45 days (configurable) the task auto-archives
For recurring tasks, the next occurrence is auto-created at the same time.
To un-complete: in the Completed filter, click the checkbox again.
Reordering
In the To Do filter (List view only), each task has a drag handle on the left. Drag to reorder. The new order saves automatically.
You can also use the task menu's Move to Top option to jump a task to position 1.
Reordering is disabled in other filter views (the underlying sort is by due date / priority / completion).
