Project Calendar
The Calendar tab puts one project's board cards and its overall timeline on a calendar, so you can see what lands when, add a card on any date, and move the whole project by dragging its bar.
New in v4.126.0. The Calendar tab is off on every project until you turn it on.
Overview
The project Calendar is locked to one project. It shows that project's cards and a bar for the project's start-to-due dates, with the whole span shaded so you can see at a glance which cards fall inside it. Clients can open it too, read-only — as long as the Calendar tab is switched on and shared with them; see the client access line.
Turning the Tab On
- Open the project
- Click the gear at the end of the tabs row (Manage Tabs)
- In Manage Project Tabs, under Add Tabs, click Add next to Calendar
- Click Save Changes — the page reloads with the new tab
Only administrators, editors, system admins and tech admins see the gear.
What Appears
Cards from the project's board, using each card's own start and end dates:
- A card with both dates spans them as a bar
- A card with only one date shows on that day
- Each card shows the client, the project and the initials of the card's members; hover for the full title
- Click a card to open it in the side panel
Completed cards stay on the calendar. Cards with no dates don't appear.
The project bar runs from the project's Start Date to its Due Date (set with the date button in the project header), and the days between are shaded.
- With only a due date, the project shows as a single marker on that day, with no shading
- With no project dates, there's no bar — cards still show
Tasks and tickets don't appear on the project Calendar.
Views
Use the toolbar to move between dates (previous, next and today) and to switch views:
| View | Shows |
|---|---|
| Month | The default — a full month grid |
| Week | One week as a day grid, without hours |
| Agenda | A list of what's coming up |
The tab remembers the view you last used, separately from the main Calendar page. When the calendar is very narrow (under about 480px) it switches to Agenda on its own.
Adding a Card on a Date
New in v4.154.0. Tap or click a date to add a board card on that day. This works on the Calendar tab and on the Timeline tab's Month, Week and Agenda views.
- Tap or click an empty part of any day. In Agenda, tap the + beside a day's heading instead.
- A New card form opens with that date filled in. You can change the date.
- Type a Card title and choose the List it goes in.
- Click Add card, or press Enter in the title.
The card appears on the calendar and on the board straight away. It starts and is due on the date you chose and is assigned to you, the same as a card added on the board. Open it to change its dates, members or anything else.
A single tap works on phones and tablets; you don't need to press and hold. On a phone the form slides up from the bottom of the screen. Close it without adding anything with Cancel, by tapping outside it, or with Escape.
Good to know:
- If the project has no lists yet, the form says Add a list on the Board first, then add cards to it.
- Agenda only lists days that already have cards. To add a card on an empty day, use Month or Week.
- Only people who can edit the project can add cards this way. Clients and other view-only users don't see the form.
Rescheduling the Project
Your team can change the project's dates right on the calendar:
- Drag the bar to move the project — start and due move together and the length stays the same
- Drag either end of the bar to change just the start or the due date
The calendar redraws the shading and the dates in the project header update straight away.
Cards can't be dragged here. Change a card's dates from the card itself on the board. Clicking an empty day adds a card instead.
Who Can Use It
| Can see it | Can drag the project bar | Can add cards | |
|---|---|---|---|
| Administrators and editors | Yes | Yes | Yes |
| Other staff who can edit the project | Yes | Yes | Yes |
| Assigned client users and users of the project's client, when Calendar is shared with them | Yes | No — read-only | No |
If someone without permission to edit the project tries to move it, they see You cannot reschedule this project.
Compared with the Main Calendar
| Project Calendar tab | Main Calendar page | |
|---|---|---|
| Shows | This project's cards and the project bar | Everything you choose — tasks, tickets, cards and more |
| Filters, Mine/Team | Not shown | Available |
| Clicking a date | Adds a board card to this project | Opens the create form for a task, ticket or project |
| Start-to-due shading | Yes | No |
| Clients | Can view, read-only | Staff only |
Notes & Gotchas
- If a range holds too many cards to draw, you'll see More cards fall in this range than can be shown. Narrow the range with Week or Agenda.
- If a change to the bar is still saving and you drag it again, you'll be asked to wait a moment and try again.
- The shading needs both a start and a due date.
