Reports & Sharing
Every intake form now has reports: how many people submit it, how many finish what they start, how quickly submissions get approved, where people drop off and what they answered. Reports are for your team — clients never see them.
The Summary Tab
Open a form in the builder and choose Summary (it appears once the form has been saved). Pick a date range — from the last 7 days to all time, or a custom range — and see:
| Measure | What it shows |
|---|---|
| Submissions | Finished submissions in the range |
| Drafts finished | How many started drafts went on to be submitted |
| Median time to complete | From starting the form to submitting it |
| Approval rate | How often submissions are approved |
| Median time to approve | From submitting to being approved |
| Submissions over time | Daily, weekly or monthly |
| Drop-off by step | How many people reached each step of a multistep form |
| Where submissions come from | Portal, hosted page or embed, plus referring sites and UTM tags |
Question Charts
Below the totals, each question gets a chart that fits its type:
| Question type | Chart |
|---|---|
| Choice | Share of each option; for multiple-choice questions, the share of people who picked each |
| Toggle and Consent | Yes and no split |
| Rating and Scale | Distribution of answers and the average |
| NPS | Distribution and the Net Promoter Score |
| Number, Currency and Calculated | Ranges, with minimum, average, maximum and total |
| Date | Timeline of answers |
| Text | Number of answers and a few samples |
AI Theme Summaries
For long text answers, click to have AI summarise the common themes across responses. It runs only when you click — never automatically — and the result is kept for a few hours so reopening the report doesn't run it again.
The Submissions Table
A form's submissions page is now a table you can work through:
- Filter by status, date, source, a search, and any number of answers — for example, every submission where the budget is over a certain amount.
- Save filters you use often, and choose which answer columns to show. Saved filters and columns are yours, per form.
- Approve or reject in bulk. Select submissions that are awaiting review and approve or reject them together. Each one runs the same automations and sends the same emails as approving it on its own.
- Download CSV or Excel of what's showing — the download follows your filters.
PDF Download
Download the form's summary — totals and charts — as a PDF from the Summary tab, for a meeting or a client report.
Read-only Share Link
Share a form's summary with someone outside the portal using a read-only link.
- The link shows totals and charts only. It never shows individual answers, names or emails.
- Replace link makes a new link and stops the old one working. Turn off disables sharing.
- Links are off until you create one.
Email Digest
Send a form's summary by email on a schedule:
- On the Summary tab, open Email digest.
- Choose Weekly or Monthly.
- Pick the staff members who should receive it.
Use Send me a test to see what it looks like. Digests are off until you turn them on, and they go to staff only.
Dashboard Widget
Add the Intake form report widget to a dashboard to keep a form's numbers in view. It can show a form's totals, its trend over time, where submissions come from, or the answers to one question.
Only staff see this widget. Even on a dashboard shared with clients, the Intake form report widget is shown to staff only.
How the Numbers Are Counted
- Submissions are finished submissions — submitted, approved or rejected. Drafts are counted separately.
- Drop-off by step starts from when someone starts the form. Visits that never start it aren't counted.
- Tracking of the furthest step someone reached starts with this update, so drafts begun before it count only the step they're on now.
- Median time to complete only counts submissions where a start time was recorded; a public form filled and submitted in one go has no separate start.
