The Client To-Do Center
The To-Do Center is a dashboard widget that lists everything the signed-in client needs to do, in one place, each with a button to do it. It's the natural first thing on a client's home page.
Updated in v4.212.0. The list now includes tickets waiting on the client's reply and project stages waiting on their sign-off. Wherever a client's dashboard has an Action Center, clients now see the To-Do Center list in that spot. Your team still sees the Action Center.
Overview
Each row has an icon, a short label (for example Pay invoice INV-1042 — $1,250.00), sometimes a second line, and an action button such as Pay, Sign or Reply. The most urgent items come first.
- A client only ever sees their own company's items. The list never shows another client's records.
- When there's nothing to do, the widget reads You're all caught up — Nothing needs your attention right now.
- If part of the list couldn't load, a note says Some items couldn't load. Refresh to try again. rather than claiming the client is caught up.
- The widget shows up to 10 rows by default, with Showing 10 of 14 underneath when there are more.
What the List Includes
| Item | Label | Button |
|---|---|---|
| Company profile not finished | Complete your company profile | Complete |
| Onboarding forms still to fill in | Finish onboarding: and the form name | Complete |
| Sent invoices not yet paid | Pay invoice (or Overdue invoice) with the number and amount | Pay |
| Contracts waiting for their signature | Sign contract: and the contract name | Sign |
| Agreements waiting to be accepted | Review & accept: and the agreement name | Accept |
| Sent estimates waiting on a decision | Review estimate with the number and amount | Review |
| Tickets waiting on their reply | Reply: and the ticket subject | Reply |
| Project stages waiting on their sign-off | Approve and the stage name, with the project name underneath | Review |
- Overdue invoices float to the top of the invoice items. Pay opens the invoice's no-login payment page.
- A ticket counts as waiting on the client when your team sets its stage to Waiting for Client — the same tickets listed under Waiting on you on the client Tickets page.
- A sign-off item appears when you click Request sign-off on a stage and the project shares Process or Status with the client. Review opens the project on that tab. See Client Progress Tracker & Sign-off.
- Items for features you've switched off simply don't appear.
Clients See It in Place of the Action Center
The Action Center is your team's widget for things that need attention. From v4.212.0, when a client views a dashboard with an Action Center, they see the To-Do Center list in that same spot instead:
- The widget keeps its title, size and position.
- It keeps its Action Sources. An Action Center set to show only Outstanding Invoices shows the client just their invoices to pay. With Tickets Needing Attention, Outstanding Invoices and Incomplete Intakes all ticked — the default — the client sees everything on the list above.
- Its Pinned Items appear at the top of the client's list, as long as Pinned Actions is ticked.
- Its Max Items to Show and Empty State Message carry over.
Your team, and portal agents, still see the Action Center as before. This change applies on upgrade; nothing else on your dashboards moves.
Lead with To-Do Center
To put the client's to-do list at the top of a client dashboard:
- Go to Manage Dashboards
- Find a client dashboard. Dashboards that can use it show Lead with To-Do Center under the name.
- Click Lead with To-Do Center and confirm with Move it to the top
The to-do list moves to the top of the dashboard — right after any welcome banner, so a greeting can stay first. Every other widget keeps its order.
- If the dashboard already has a To-Do Center, that widget moves up. Otherwise its first Action Center moves up (clients see it as the To-Do Center). If it has neither, a new To-Do Center called Waiting on you is added.
- The link is offered only on dashboards assigned to client roles (or to everyone) that don't already lead with their to-do list. It disappears once you've used it.
- Administrators, editors and system admins can use it.
You can always rearrange the dashboard afterwards in the dashboard builder.
Adding the Widget Yourself
In the dashboard builder, add To-Do Center like any other widget. Its one setting is Max rows (10 by default).
New portals built by the Setup Wizard already put a Waiting on you To-Do Center on the client dashboard.
Notes & Gotchas
- The To-Do Center is a client widget. Your team sees nothing useful in it — add the Action Center for staff instead.
- Clients don't see draft invoices or estimates, or invoices that are already paid.
- Lead with To-Do Center only changes the order of widgets on that one dashboard. It doesn't change what the list contains.
