Orders List

The Orders page is where every purchase in the portal ends up — subscriptions and one-time buys from your plans and products, and manual orders staff record by hand. It shows what each one is worth, where it stands, and who it belongs to, and it adds up whatever you have on screen.

What Counts as an Order

Three kinds of record land here, and the list shows them the same way:

  • One-time — a single purchase of a product or package, paid through checkout
  • Subscription — a plan bought through checkout and renewed by Stripe; the row shows the next renewal date when it is known
  • Manual — an order a staff member recorded in the portal rather than one a client bought online; these move through their own open → review → payment → complete flow

The badge beside each order title — One-time, Subscription or Manual — tells you which one you are looking at.

A purchase made through the on-site checkout used to appear twice — once as the order and once as the access record the portal keeps behind it. The list now hides that duplicate. Nothing is deleted; the access record still grants the client their content.

The Summary Strip

Four figures above the table, computed over the filtered set — pick a tab, a client or a period and the numbers follow:

FigureWhat it adds up
CollectedOrders that are paid or complete, and how many
PendingOrders still awaiting payment (pending, open, review, payment), and how many
Active subscriptionsThe count of live subscriptions, and their combined monthly value
Manual in progressManual orders that are open, in review or awaiting payment

The monthly value of a subscription is normalised — a yearly plan counts a twelfth of its price, a quarterly plan a third — so the figure reads as MRR for the orders you are looking at.

Tabs & Filters

Six tabs across the top of the card: All, Paid, Pending, Subscriptions, Manual and Cancelled. The active tab shows a count chip; on All, every tab does.

Below them:

  • Search — matches the order number, title, client name, buyer name or email, and item titles; results update as you type
  • Client — staff who manage invoices get a dropdown of every client, defaulting to All clients
  • Period — in the page toolbar, top right: All time, This month, Last 30 days, This year or Custom. Choosing Custom adds From and To date fields beside it, and the active period reads beside the page title.

The Date, Client, Amount and Status column headers sort the list; click again to flip the direction. Reset clears every tab, filter and sort at once. The list shows 25 orders a page.

Reading a Row

ColumnShows
OrderThe order title (a link to the order) and its kind badge; subscriptions add "Renews" and the date beneath
DateWhen the order was placed
ClientThe client, linking to their profile, with the buyer's name or email underneath. An order with no client shows the buyer's email instead
ItemsThe first item, its quantity if more than one, and "+N more" for the rest — hover for the full list
AmountThe order total
StatusA colored status badge (see below)
MethodStripe or Offline
ActionsAn invoice icon when an invoice is linked to the order, and View — or Open for a manual order that is still being edited

Statuses

StatusMeaning
paidPayment succeeded
pendingCheckout started but not yet paid — for example a bank transfer that has not cleared
failedThe payment attempt failed
refundedRefunded in Stripe
open / review / paymentA manual order moving through its steps
complete / closedA manual order that finished
cancelledCancelled, whichever kind it was

The Paid tab includes complete manual orders; the Pending tab includes manual orders that are open, in review or awaiting payment.

Who Sees What

Staff who can manage invoices see every order and get the client filter.

A client user who has been given billing access sees the same page, but only the orders that belong to their own client — the summary strip, tabs and search all work inside that set, and the client dropdown is not shown. Opening another client's order directly is refused.

Notes & Gotchas

  • The old Add order button is gone. It opened a form that no longer existed in the theme; manual orders are still created the way they always have been.
  • A subscription's "Renews" date comes from Stripe and appears once the portal has received the subscription's details; a very new subscription may show without one until its first webhook arrives.
  • Amounts are shown in the order's own currency.
