Folders, Workbench & Client Folders

Folders (technically WordPress Collections) are how you organize resources in ClientCove. The folder tree on the left side of the Resources page is divided into three labeled sections, each with its own scope and access rules.

Folder Types

Shared Folders

Visible to anyone with resource access. Use these for portal-wide content — reference materials, public guides, generic templates.

Client Folders

Bound to a specific client company. Only users assigned to that client can see them (admins always see everything). Use for confidential deliverables, client-specific brand assets, contracts, and onboarding materials.

Workbench Folders

Private staging areas, one per client, used by staff before publishing. Marked with a lock badge. Clients never see workbench content. A reminder banner inside the folder reads:

Private staging area visible only to staff — not clients.

Creating Folders

  1. Find the appropriate section in the folder tree (Shared, Client, or skip Workbench — those auto-create)
  2. Click the + button at the top of that section
  3. Enter a name
  4. In the Client Folders section, optionally tick Client Folder to bind it to the active client
  5. Click Create

Subfolders

To create a subfolder, hover the parent folder, open its three-dot menu, and choose Add Subfolder. Folders support unlimited nesting, but 2–3 levels usually keeps things browseable.

Workbench Folders

Workbench folders auto-generate the first time a staff user creates a resource for a client. The naming convention is internal (workbench-<client_id>) — what you see in the tree is just "Workbench" under that client.

To publish from the workbench: drag the resource card from the workbench folder into a client-visible folder (or onto a Shared folder for general availability).

Workbench folders cannot be renamed, deleted, or moved.

The folder tree supports rich drag-and-drop:

Visual feedback:

  • Drop targets highlight with a primary border
  • Dragging folder dims with a tilt effect
  • Active folder gets a blue background

Client Inheritance Prompts

Drag-and-drop with client folders triggers confirmation prompts to prevent accidental data leaks.

"Inherit Client Assignment?"

Shown when you drag a folder under a client folder. Choose:

  • Inherit — the moved folder becomes bound to the new parent's client
  • Keep current — the folder retains its existing client (or stays unbound)

"Remove Client Assignment?"

Shown when you drag a client folder to a non-client parent. Confirms you want to drop the client binding.

Blocked moves

Some moves are silently rejected with a toast:

  • Workbench folders cannot be moved at all
  • Client folders cannot be promoted to top level
  • A client folder cannot be moved under a different client's tree

Renaming & Deleting

Open a folder's three-dot menu:

  • Rename — inline edit the folder name
  • Delete — moves the folder to trash; resources inside are not deleted but lose their folder membership

Workbench folders and locked client folders only allow Add Subfolder — no rename or delete.
